Pareto analysis: focus on what matters most!

Pareto analysis is a powerful problem-solving tool based on the Pareto principle, also known as the 80/20 rule. This rule states that 80% of effects come from 20% of causes. In other words, a minority of causes generates the majority of problems. Pareto analysis makes it possible to prioritise resolution efforts by focusing on the causes with the greatest impact.

Steps of Pareto Analysis:

  1. Identification of Causes: Start by listing all the possible causes of a problem. This can be done through brainstorming sessions, surveys or studies of historical data.
  2. Data Collection: Gather data on the frequency or importance of each identified cause. For example, the number of times a specific cause occurs or the costs associated with each cause.
  3. Ranking of Causes: Rank the causes in descending order of frequency or impact. The causes with the most significant effects appear at the top of the list.
  4. Construction of the Pareto Chart: Create a bar chart in which the causes are arranged on the horizontal axis (x) and the frequency or importance on the vertical axis (y). Add a cumulative line showing the cumulative percentage of the total impact.
  5. Analysis and Prioritisation: Interpret the chart to identify the main causes. In general, the first bars of the chart, representing the 20% most significant causes, will be responsible for 80% of the problems. Focus your efforts on these priority causes to achieve significant improvement.
  6. Implementation of Solutions: Develop and implement solutions for the priority causes identified. Track progress and assess the effectiveness of the solutions put in place.

Advantages of Pareto Analysis:

  • Simplicity: The tool is easy to understand and use, which makes it accessible to all team members.
  • Effectiveness: By focusing on the most significant causes, the team can quickly solve the problems with the greatest impact.
  • Visual Clarity: The Pareto chart offers a clear visual representation of priorities, facilitating communication and decision-making.
  • Resource Optimisation: It enables more efficient use of resources by targeting efforts where they will have the greatest impact.

Pareto analysis is therefore an essential tool within Lean Management for identifying and eliminating the main sources of waste and dysfunction, thereby contributing to the continuous improvement of processes.
